Data & Privacy
Applying for food support means telling us some personal things about your life. This page explains exactly what we collect, what we do with it, and what we will never do.
Used only for the programme
Everything you share in an application is used only to run the food support programme — verifying your student status, assessing your eligibility, delivering support, and reporting anonymised totals to the funders who make it possible. Nothing more.
What we collect
We only ask for what a reviewer genuinely needs to assess an application. You choose how much detail to give about your circumstances.
Identity & contact
- Full name
- Email address and phone number
- Date of birth and gender
- Profile photo
Academic details
- Institution and campus
- Matriculation number
- Course, level and current CGPA
- Student ID document
Circumstances you choose to share
- Household and financial situation
- Guardian or sponsor details
- Medical or health challenges, where relevant
- Any supporting documents you attach
How we use it
These are the only four things we do with your information.
Verify that you are a student
We confirm your enrolment with your institution and campus coordinator so support reaches genuine students.
Assess your eligibility
Reviewers read your application to decide fairly who receives support, and how much, within the funds available.
Administer your food support
We use your details to arrange collection or delivery, keep records of what you have received, and contact you about your application.
Report anonymised totals
Funders and partners receive aggregate figures — such as how many students were fed at a campus. They never receive your name or personal details.
What we never do
- We never sell your data.
- We never share it for advertising or marketing by other organisations.
- We never pass your personal details to funders — they receive anonymised totals only.
- We never use it for any purpose unrelated to the food support programme.
Who can see it
Access is limited to ACFBI staff and the campus coordinators who review applications at your institution. Your application is not visible to other students, and it is stored on secured infrastructure with access controls in place.
How long we keep it
We keep applications only as long as needed to administer the programme and to meet our auditing and reporting obligations to funders. After that, records are deleted or fully anonymised.
Your choices
Your information is yours. You can ask us for a copy of what we hold about you, ask us to correct anything that is wrong, or ask us to delete it altogether.
To make any of these requests, email us at support@acfbi.org and we will respond as soon as we can.
One thing to know: if you withdraw your consent or ask us to delete your data, we will have to end any active food support, because we cannot run the programme without this information.
